How Packers and Movers Charges Are Calculated in India

One of the most common questions we get at Urban Relocations is why one packers and movers quotation is higher than another for what seems like the same house. The truth is that moving charges in India are not fixed rates; they depend on several factors that vary from one home and one move to another. Understanding these factors helps you read a quotation properly and compare it fairly, instead of simply picking the lowest number.

The in-home or video survey

A genuine mover will want to see your goods, either in person or over a video call, before quoting a price. This survey lets them estimate the volume of goods, note fragile or oversized items, and check access points like stairs, narrow gates or a lack of lift. A quote given without any kind of survey is usually inaccurate and tends to change on moving day, often upward.

Volume and weight of goods

This is the single biggest factor. Movers estimate the total volume your goods will occupy in the truck, sometimes expressed in cubic feet, and larger household setups such as a 3BHK naturally cost more to move than a 1BHK. The number of furniture pieces, appliances and boxes all add to this volume. This is exactly why decluttering before the survey, as covered in our moving checklist, can genuinely bring your cost down.

Distance between origin and destination

A local shift within the same city costs less than an intercity move, and an intercity move within the same state usually costs less than moving across the country, say from Delhi NCR to Bangalore or Chennai. Fuel, tolls, and the number of days the vehicle and crew are engaged all factor into distance-based pricing.

Floor level and accessibility

Carrying goods up or down several floors without a lift takes more time and manpower, and most movers charge separately for this. Similarly, if the truck cannot be parked close to the entrance and goods need to be carried a distance, or if a narrow staircase means furniture has to be partially dismantled, this adds to the labour involved and therefore the cost.

Type and level of packing

Basic packing with standard cartons costs less than specialised packing for fragile items like crockery, glassware, artwork, or electronics such as a television or refrigerator, which need extra padding, bubble wrap and sturdy boxes. Wooden crating for very fragile or high-value items adds further to the cost, but it also significantly reduces the risk of transit damage.

Additional services

Dismantling and reassembling furniture, unpacking at the destination, arranging carpenters or electricians for fitting modular units, and storage in a warehouse if your new house is not ready are all optional services that add to the base charge. It helps to ask upfront whether these are included or billed separately.

Vehicle type

The size of the truck used depends on your volume of goods. A smaller Tata Ace type vehicle is used for compact moves, while a larger container truck is used for full household shifts, especially for intercity or interstate moves. Sharing a truck with another customer's goods, sometimes called part-load, can lower the cost but usually takes longer to deliver since the vehicle covers multiple drop points.

Transit insurance

Insurance for your goods while in transit is usually charged as a percentage of the declared value of goods, or as a fixed add-on depending on the mover. We have covered this in detail in a separate article, but in short, do not skip it to save a small amount, since it is what protects you financially if something goes wrong on the road.

GST

Packers and movers services attract GST, and this should be clearly shown as a separate line item on your invoice rather than bundled into the total. How to read a quotation properly

• Ask for an itemised quotation that breaks down packing, loading, transport, unloading and any additional services separately.
• Check whether GST is included in the quoted figure or added on top.
• Confirm whether transit insurance is included or optional.
• Ask if there are extra charges for floor access, waiting time, or specific fragile items.
• Get the quotation in writing, with the mover's registered name and GST number, before you make any advance payment.

A fair quotation is one you can understand line by line. If a mover cannot explain why their price is what it is, or refuses to put a breakup in writing, that itself is a signal to be cautious.
