Office relocation planned around business continuity
An office move is different from a home shift mainly because of the number of stakeholders and the cost of downtime. Employees need workstations ready, IT teams need servers and networking equipment reconnected, and admin teams need files and records intact and traceable. Urban Relocations plans office shifting around these priorities rather than treating it as bulk cargo movement.
We have supported office relocations for small teams moving between floors in the same building as well as larger organisations shifting between business parks in cities like Pune, Bangalore, Hyderabad, Chennai and Gurgaon. The scale changes, but the underlying process — inventory, labelling, sequencing and reinstatement — stays the same.
How it works
- A pre-move survey covering workstations, cabins, meeting rooms, server room, pantry and storage areas
- A tagging and labelling system so cartons and furniture go to the correct floor, cabin or department at the new office
- Scheduling the move over a weekend or after office hours where possible, to reduce disruption to work
- Careful packing and disconnection of IT equipment, with cabling bundled and labelled
- Dismantling of modular furniture, workstations and partitions, and reassembly at the new location
What's included
- Packing materials for files, electronics, glass partitions and furniture
- Dismantling and reassembly of modular workstations and cabins
- Careful handling of computers, monitors, printers and networking equipment
- Loading, transport and unloading with a team sized to your office strength
- Placement of furniture and cartons as per the floor plan shared in advance
A department-wise colour coding or numbering system for cartons usually makes a real difference at the unpacking stage — it means IT does not have to sift through finance department boxes, and vice versa. We generally suggest finalising the new floor plan before the move date so our team can place furniture directly instead of shifting it twice.
Server room equipment, UPS units and networking racks need extra care during transit; wooden crating and proper padding are typically used for such items. For any specialised equipment, do flag it during the survey so we plan the right materials and handling.
Office moves are also where insurance and documentation matter most, since equipment values can be significant. We provide GST-compliant bills that are usually required for company accounts and audit records, and transit insurance can be arranged for added protection on higher-value moves.
Weekend and after-hours moves are common for offices that cannot afford a full working day of downtime — do discuss timing preferences with us early so the schedule can be built around it.
